Administrative Coordinator

Title: Administrative Coordinator (Non-Exempt)

Supervisor: Research & Development Manager and HR/Office Manager

Primary Function
To provide administrative and program support to research and development programs and to the overall functioning of the Foundation's corporate office by performing a variety of general office activities.

Duties and Responsibilities

Research and Development

  • Provide grant administration support including receiving and organizing applications, managing grant files, maintaining records, assisting with logistical planning of meetings and coordinating report reminders and check requests.
  • Coordinate the discarded tissue donation program.
  • Maintain clinical studies portion of the website.
  • Serve as webinar backup to R&D manager; coordinate webinar surveys and emails; input registrants and attendees into database.
  • Support PKD National Convention by assisting with speaker invitations, communications, logistics and travel arrangements.
  • Provide general R&D support in the areas of:
    • Answering phones, fielding questions about R&D programs and patient support.
    • Maintain R&D contacts in database and other files.
    • Support Accelerating Treatments to Patients programs.
    • Coordinate travel.
    • Assist with responding to research@pkdcure.org inbox.
    • Scientific Advisory Committee meeting support

General Office

  • Answer incoming calls; greet callers/visitors in a friendly and professional manner.  Seek to assist callers/visitors and serve as a referral bridge when necessary.
  • Distribute daily mail.
  • Process outgoing shipments (UPS, FedEx, USPS, etc).
  • Process daily donations.
  • Assist with ordering, receiving, stocking and distribution of office supplies.
  • Ensure kitchen is stocked with supplies, clean and organized.
  • Ensure adequate paper supply in all copiers and fax machines daily.
  • Prepare and mail thank you letters to donors within 24 hours of receipt of batch from Database Department (during walk season only).

In addition to these specific duties and responsibilities, the administrative assistant will perform other assignments related to these general areas and will assist members of other departments as needed.

Education/Experience
Bachelor's degree in business or related field preferred. 1 to 3 years of relevant experience and/or training or equivalent combination of education and experience.

Ability/Skills
Demonstrated proficiency in Microsoft Word and Excel required. Familiarity with office equipment and inventory maintenance preferred. Knowledge of shipping and mailing procedures preferred. Able to work independently on assigned tasks as well as accept direction on given assignments. Ability to provide superior customer service to internal and external clients, to be detailed and accurate in work methods, and to exercise good judgment with professionalism.

Title: Fundraising Events Assistant (Full-Time, Non-Exempt)

Supervisor: Fundraising Events Manager & Walk for PKD Manager

Primary Function
Responsible for providing support to Fundraising Events Manager and the Walk for PKD.

Duties and Responsibilities

  • Under the direction of the Fundraising Events Manager, manage projects and tasks such as the following:
    1. Pull and mail fundraising event incentives, welcome kits and monitor inventory
    2. Support "Your Local Race" participant engagement and coaching
    3. Support management of specific Chapter event operations and details
  • Manage all invoices to ensure appropriate review and timely payment for Fundraising Events and Walk for PKD activities.
  • Manage all event insurance to ensure adequate provision for Fundraising Events and Walk for PKD activities.
  • Schedule, prepare and appropriately distribute emails for Fundraising Events and, when appropriate, Walk for PKD activities.
  • Update and manage Fundraising Event, Walk for PKD and Chapter webpages and event calendars, ensuring the correct display of sponsor logos.
  • As requested, be able to generate relevant Financial Edge reports.
  • Have a full understanding of the Raiser's Edge database, including information, reports, event record creation and database coding. Be a program resource to the Database Team.
  • Manage Chapter records in line with organizational standards and objectives, and update on a timely basis.
  • Provide support for administrative functions of the Foundation including processing mail/Walk donations.
  • Provide excellent customer service to external and internal constituents.
  • Other duties as assigned.

Education/Experience
It is preferred that candidates have a minimum of a bachelor's degree or equivalent combination of education and experience. One year of experience, responsibility and achievement in the nonprofit arena; volunteer management experience preferred. Experience with Raiser's Edge or similar donor software preferred.

Ability/Skills
This individual must have excellent verbal and written communication skills, excellent computer skills, an ability to work in a team environment, advanced problem solving skills, be self motivated and punctual.

Knowledge/Judgment
Demonstrated proficiency in Microsoft Word and Excel required. Prior experience with fundraising databases preferred. Familiarity with office equipment preferred. Ability to provide superior customer service to internal and external clients, to be detailed and accurate in work methods, and to exercise good judgment with professionalism.

Title: Seasonal Database Assistant (Part-Time)

Hours: 20-40 hours per week – flexible schedule between 9 a.m. and 5 p.m. (Aug. 17, 2015 - Oct. 31, 2015)

Supervisor: Database Administration Manager

Primary Function
Input incoming daily cash receipts, run daily revenue reports, process mailings and perform certain administrative duties. Candidate must have organizational skills, flexibility to work hours as needed, teamwork, written communication skills and an ability to work without supervision. Previous experience with working with Sphere and Raiser's Edge preferred.

Key Tasks

  • Using the Raiser's Edge CRM/Luminate Online to, add, clean and validate company and individual records, making sure that contact data is accurate and complete.
  • Enter daily revenues to the appropriate member account in database; this includes cash, checks, credit card an online donations.
  • Run daily reports from database system for separate types of gift revenues and balance with bank deposits.
  • Maintain files of all correspondence and donor gift information, organized by date.
  • Provide back up support for other database assistant duties as needed.
  • Other administrative and clerical duties as assigned.

Required Skills

  • Ability to learn within a fast pace.
  • Strong memorization and attention to detail, accuracy, and dependability on repetitive tasks.
  • High level of typing accuracy and speed.
  • Ability to follow a schedule of work and meet set target .
  • Intermediate working knowledge of Microsoft Excel.
  • Experience using databases and CRM systems, ideally Raiser's Edge and Luminate Online.

Personal Qualities

  • Thorough worker with rigorous attention to detail and ability to understand the importance of the task.

  • Reliable and trustworthy.

Education/Experience
Two years data entry and/or secretarial experience with preference to those with bookkeeping experience. High school graduate or equivalent with experience in business, bookkeeping and word processing courses.

Physical Demands
Must be able to sit or stand for extended periods of time, use hands and arms, read, stoop, crouch, talk, hear, see objects clearly at 20 inches or less, and lift and move items weighing up to 20 lbs.
