Database Administrator & Service Desk Manager

This new position will serve as the primary system administrator for the Salesforce environment with around 30 users. Reporting to the Vice President of Integrated Information Systems, the Database Manager works to ensure the highest data integrity while working cross-departmentally to ensure all data is complete, accurate, and able to inform fundraising and marketing strategies. The successful candidate will have a proven track record of improving processes and adoption using the Salesforce platform. She/he will be responsible for executing the day-to-day configuration, data entry, support, maintenance and improvement of our CRM platform. Database Administrator & Service Desk Manager

Location: Remote, USA (HQ in Kansas City, MO; preference to local candidates)

Summary

This new position will serve as the primary system administrator for the Salesforce environment with around 30 users. She/he will be responsible for executing the day-to-day configuration, data entry, support, maintenance and improvement of our CRM platform. They will be responsible for the service desk cycle, ensuring issues are resolved per the service level agreements (SLA).

Core Responsibilities 

  • Database Management & Maintenance (60%)
    • Upgrade and configure Salesforce systems for optimized integration.
    • Manage Salesforce roles, profiles, sharing rules, workflows, and groups.
    • Maintain the Salesforce Cloud, as well as build custom reports and dashboards.
    • Perform database maintenance tasks, including diagnostic tests and duplicate entry cleansing.
    • Develop and maintain database documentation, including data models, system configurations, and operational procedures.
    • Document processes, including error reports and changes to field history tables.
    • Oversee database design, development, and implementation projects, ensuring adherence to best practices and standards.
    • Develop and implement strategies for database administration and optimization to ensure high availability, reliability, and performance.
    • Monitor and maintain database performance, identifying and resolving performance bottlenecks and tuning queries as necessary.
    • Ensure data integrity and security through regular backups, implementing appropriate access controls, and monitoring for potential security breaches.
    • Stay up-to-date with the latest trends and technologies in database administration and recommend innovative solutions to improve efficiency and effectiveness.
  • Departmental Leadership (40%)
    • Prepare reports for departments across the organization.
    • Have a working knowledge of all apps that connect to the CRM.
    • Create forms to capture prospect data on Pardot and Formstack.
    • Manage and provide leadership to a team of two Database Coordinators, including hiring, training, and performance management.
    • Collaborate with the data analyst and cross-functional teams to support database-related needs and projects.
    • Provide technical guidance and support to team members, assisting with complex database-related issues and incidents.
    • Foster a culture of collaboration, continuous learning, and innovation within the team.

    Ideal Qualifications

    • 3-5+ years of experience as a Salesforce Administrator
    • 2-4+ years of experience providing IT help desk support
    • Salesforce Certified Administrator or Salesforce Advanced Administrator Certification preferred
    • Solid understanding of database architecture and data modeling principles.
    • Familiarity with backup and recovery procedures, as well as database security best practices.
    • Excellent problem-solving and analytical skills.
    • Strong communication and leadership abilities.
    • Bachelors Degree in Computer Science or related field is strongly preferred
    • Ability to collaborate effectively among a geographic and professionally diverse team. 

      Travel Requirements

      • Minimal; <5%
      • Occasional business travel will be required to the PKD Foundation office in Kansas City, Missouri. Employees residing outside of the Kansas City Metro must live within reasonable proximity to a major airport hub for required travel.

    Digital Fundraising Strategist

    Category: Full-time, Exempt
    Reports to: Director of Marketing and Communications
    Location: Remote, USA (HQ in Kansas City, MO)

    Summary

    The Digital Fundraising Strategist manages and oversees growth of all digital fundraising initiatives by implementing strategies, tactics, and techniques across digital channels. Responsible for the end-to-end supporter journey and experience, this role will help develop landing pages, email journeys, social content, and ads to achieve organizational fundraising goals, engage existing supporters and attract new supporters, with a focus on acquisition of new consistent online donors. The Strategist will provide coordinated leadership of all digital fundraising and engagement activities and develop and implement marketing strategies to support fundraising across the organization.

    Core Duties and Responsibilities 

    • Bring digital philanthropy best practices and a data-driven approach to our online fundraising program, including visibility, engagement, and revenue growth strategies 
    • Strategize, design, manage   and achieve fundraising goals for PKDF digital fundraising activities. Responsibilities include: Giving Tuesday, monthly giving, car donation program, and other digital fundraising campaigns  
    • In partnership with the Marketing department, execute the Foundation’s social media fundraising strategies, including drafting, and posting items on Facebook, Twitter, Instagram, and other social media platforms. Track and report on digital fundraising results across all channels. Maintain dashboards and pull analytics reports for online appeals, web traffic and social media. Maintain email analytics and provide recommendations for future email appeals.  
    • Develop supporter journey strategies to deepen the engagement with PKDF campaigns, leading to consistent donor giving and engagement.  
    • Provide direction and feedback to outside creative vendors for digital campaigns (email, SEO, display ads and social media). Create online engagement and stewardship opportunities.  
    • Manage and implement a robust testing plan to build a data driven drip campaigns when applicable. Proof, test, schedule, and track email sends for all digital fundraising initiatives.  
    • Manage the Foundation’s email list health and bounces to ensure list hygiene and sender reputation. Manage and build a segmentation strategy.  
    • Troubleshoot technical issues with Foundation email platform as they arise.  
    • Develop an online list growth plan to acquire new email addresses.  
    • Oversee fundraising pages on the Foundation’s public website and donation forms to ensure functionality. Troubleshoot issues as they arise.  
    • Maintain photo and graphics library and creative production file.  
    • Complete other duties as assigned.  

    Qualifications

    • Strong interest in digital fundraising strategies and tactics  
    • 5-7 years of project management experience within the nonprofit fundraising space and the ability to handle multiple projects with high attention to detail  
    • Experience with list selection, segmentation, and hygiene  
    • Excellent verbal and written communications skills  
    • Experience publishing content, engaging audiences, and tracking results across social media platforms, including ad buys  
    • Ability to work cross-functionally with a diverse range of partners and peers  
    • Proficiency in Microsoft Office suite  
    • Proficiency in peer-to-peer fundraising software  
    • Familiarity with using CMS systems (WordPress preferred) and files produced in Adobe Creative suite and Canva  
    • Proficiency with CRM software such as Salesforce and its digital communication applications  
    • Familiarity with HTML. Familiarity with CSS a plus  
    • Familiarity with Google Analytics and Google Ads  
    • Ability to collaborate effectively among highly diverse (geographically & professionally) team. 

    Preferred Skills and Competencies

    • Must be comfortable working in variety of work teams and applying marketing and communications skills to organizational initiatives.  
    • Demonstrated ability to handle multiple projects and details simultaneously required.  
    • Must be timely in meeting all project-based goals and anticipate challenges.
